Summary / Role Purpose

The Sales & Order Operations Supervisor is primarily responsible for supervising and leading a team of Sales & Order Operations Specialists to reach company objectives under strict deadlines. May also partner with assigned sales team to support sales cycle and business objectives. Requires extensive knowledge and accurate execution of company policies and procedures. This position is recognized as the key resource to address complicated or non-standard sales activities for the region which are often global in nature.

 

Key Duties and Responsibilities

  • Partners with an assigned sales team; likely manages strategic, complex accounts, or Enterprise accounts
    • Includes Sales Cycle and related workflow responsibilities
  • Directly supervises and manages assigned Sales & Order Operations staff members within a particular region or territory
    • Establish and maintain effective working relationships with direct reports and sales staff
    • Managing workload of direct report members and change assignments appropriately
    • Coach, evaluate and mentor staff
    • Assign tasks, ensures the quality of work, balances workloads
    • Identifies and addresses performance issues
    • With direction from Regional Sales Operations Manager, conduct and deliver mid-year and annual performance reviews
    • Assist with hiring activities; conducts interviews, hires and orients new employees
    • Interpret, apply, and explain sales policies and procedures; identify inefficiencies and suggest improvements
  • Assist Sales Operations Orders Manager and Senior Managers with leading and carrying out business objectives, end of quarter objectives, and managing assigned staff
  • Lead and Support Renewals Administration:
  • Complete oversight of renewals administration process
    • Ensures accuracy of renewal forecast
    • Update CRM with adjustments as needed
    • Ensure team is reviewing and reconciling auto generated opportunities for accuracy
    • Collaborate with sales leaders and reps to develop maximum renewal potential
  • Direct Sales Support
    • Work with direct team, Account Managers, Regional Sales Directors and other departments on complex sales activities, which includes reconciling actual revenues to forecast and plan as well as helping new Account Managers with training on the proper paperwork and protocol for sales order processing
    • Provide exceptional support by ensuring quotations and legal documents are compliant with internal policies and processes.

    • Conduct peer reviews to ensure order accuracy and conformance with established procedures
    • Assist with End of Quarter activities to ensure all issues are addressed and orders are processed
    • Research accounts and product/order history to understand legacy, major account, or other special pricing issues
    • Oversight of regional sales credit split activities
    • Update existing CRM records with current information, which may include updating pricing and products for existing renewal opportunities, removing duplicate entries, logging notes, or other activities as directed
  • Channel Sales Support
    • Main point of contact for the Channel Partner team by responding to questions and providing exceptional support regarding ANSYS internal policy and processes to ensure maximum efficiency
    • Troubleshoot order processing complexities and help reduce order processing delays
    • Disseminate best practices to new and existing Channel Partner staff through training, during Quarterly Business Review meetings
  • Support Complex deal
    • Support the deal to close in a timely manner, conduct meeting to share deal structure and related information
    • Update and manage related opportunities in CRM to keep it accurate
    • Share knowledge and best practice to leverage for another deals
  • Work closely with Sales & Order Operations Managers and other Regional Supervisors to share best practices and improve and synchronize processes
  • May also perform other duties as assigned by the direct manager or other management staff.

 

Minimum Education/Certification Requirements and Experience

  • Associate degree (two year program) or Bachelor’s degree in business or accounting or related field with a minimum of 10 years of experience in a sales operations, sales support, finance, or legal role in a corporate setting.
  • Supervisory experience preferred
  • Advanced knowledge of administrative practices and procedures
  • High level of verbal and written communication as well as interpersonal skills and a professional appearance
  • Advanced knowledge of presentation and spreadsheet software, such as Microsoft PowerPoint and Excel
  • Ability to handle sensitive, complex and confidential information
  • Extensive working knowledge of database/CRM systems
  • Detail oriented

 

Preferred Qualifications and Skills

  • Work at software company experience is preferred
