Summary / Role Purpose  

Sales & Order Operations Specialist II is an integral member of the team responsible for partnering with account managers to support sales cycle and business objectives. Also acts as primary point of contact for internal and external customers and support continuous improvement for Sales Operations team.  

 

Key Duties and Responsibilities 

  • Sales Cycle and Related Workflow Responsibilities 

  • Work together with sales in understanding customer needs and support in proposal development that can solve their mid-term business objective 

  • Support sales team with complex quote and contract creation 

  • Partner with sales team in following up opportunities status and take pro-active attitude to support deal closure 

  • Fully understand Japan local particularities and specificities and propose ideas to streamline local order process whilst aligning with global standards 

  • Assist in develop and refine local policies and order process requirements 

  • Ensure sales team alignment to sales processes, policies and procedures 

  • Support customer and sales with complex inquiries, usually not easily found in internal documents and needs internal coordination to be solved. 

  • Coordinate communication among various internal stakeholders and ensure alignment on schedule, order submission, contract validation and quote creation requirements. 

  • Be fully accountable for revenue reconciliation validation process. 

  • Represent Sales Operations team in sales meetings, providing valuable inputs and responding to queries. 

  • Support other sales efforts as assigned. 

  • Other core expectations as defined and requested by direct supervisor/manager and local sales leadership 

  • Project Management 

  • Identify opportunities for improvement in process and automation and propose solutions for more efficiency 

  • Plan and execute mid-term projects, involving several stakeholders  

  • Work with global team on implementing new processes and systems, through giving feedback on local exceptions and supporting on testing 

 

 

Minimum Education/Certification Requirements and Experience 

  • Bachelor’s degree in business or accounting or related field 

  • Minimum of 5 years of experience in a sales operations, sales support, sales planning, sales strategy in a corporate setting.  

  • Native Japanese language proficiency  

  • Advanced English language proficiency (able to read, write and speak in business environment) 

  • Advanced knowledge in excel (able to use complex formulas, Pivot table, Macros/VBA) 

  • Advanced knowledge in PowerPoint  

  • Experienced in working with CRM such as SFDC 

  • Comfortable in dealing with large data and creating reports
