Summary / Role Purpose

The Administrative Assistant II will support multiple sales leaders, including Area VP, Area Sales Directors, and other leaders, and will be responsible for a broad range of administrative duties.  This role will be in daily contact with the executive leadership team, partners, customers, and vendors. This role requires a high level of professionalism in dealing with senior business leaders inside and outside the organization, and a high level of integrity and discretion in handling confidential information.

 

Key Duties and Responsibilities

  • Maintain confidentiality and professionalism in the handling of sensitive and confidential information and documents
  • Maintain daily calendars and own the scheduling process for all meetings for assigned managers
  • Assist in organization of business meetings and department events, including logistical support
  • Coordinate domestic and international travel
  • Manage and administer Travel and Entertainment expense reporting and process invoices
  • Organize and maintain departmental files and supplies
  • Assist with preparation of correspondence, manuals, and presentations for the business leaders
  • Assist with managing and reconciling departmental budgets
  • Coordination of communications leadership staff, maintaining contacts and email groups
  • Other duties as assigned

 

Minimum Education/Certification Requirements and Experience

  • High School and 2 years of experience or AA Degree in related discipline and 1 year of experience
  • Time management and organizational skills to handle multiple time-sensitive tasks
  • Excellent verbal and written communication skills
  • High level of professionalism, precision, and discretion
  • Ability to handle confidential or sensitive information
  • Strong accounting and bookkeeping skills, ability to learn quickly
  • Strong organization skills and attention to detail
  • Willingness to learn, strive for constant improvement, and work as a team
  • Proficient with Microsoft office software such as Word, Excel, PowerPoint

 

Preferred Qualifications and Skills

  • Strong analytical skills, with the ability to draw insights from data
  • Fluent in English and in the local language of the territory
