The administrative assistant’s main responsibility will be to ensure an efficient running of the office.

The administrative assistant will be involved in Providing information, support to all employees, teams and managers, Handling general services, Performing Finance duties and Ensuring back-office tasks for the Training/Support team.

This position is based in our Montigny-le-Bretonneux office (78).




  • General Assistant
  • Handle secretarial tasks and administrative support for the office
  • Prepare letters, documents and reports often of sensitive and confidential in nature essentially in English
  • Other day to day duties


  • Finance activities
  • Act as a cash collector for Ansys France entity and support the coordinator of this activity in accordance with Corporate goals (DSO and past due)
  • Reception and management of suppliers and client’s invoices
  • Raise Purchase Request for event, training, and other activities in the office. Chase invoices related to those Purchase Request if necessary. 
  • Create and manage vendors in Oracle
  • Management of employee bank details in oracle


  • General services and reception
  • Act as primary Office Receptionist, welcoming visitors, and employees to the office by greeting them, answering and referring questions
  • Provide primary telephone coverage, sort and route incoming mail, faxes
  • Answer to customer’s inquiries
  • Sign for pre-authorized packages (UPS, FedEx, courier, etc.)
  • Book agendas, reserve meeting rooms, order meal
  • Set up rules and processes for Paris offices in term of meetings with internal and external attendees.
  • Book hotels, or any related transportation for visitors, and manage the renewal of the supplier’s contracts.
  • Manage the good condition of the premises (cleaning) and arrange for necessary repairs
  • Participate in the organization of the office layout and help in maintaining supplies (furniture and equipment) in collaboration with the facilities department and local IT
  • Act as point of contact for local office management issues
  • Manage profiles through the ANSYS travel portal and support to employees if needed


  • Employees support
  • Welcome new staff and assist with departing staff members
  • Scheduling medical visits for the employees in Paris
  • Assist with local office meeting arrangements
  • Assist to organize trainings sessions
  • Event support coordination and coordination of regional team building activities


  • Back-Office functions for the customers training organization
  • Welcome trainees, order breakfasts and meals, book for lunches
  • Contributing to office effort by performing other tasks as requested by Supervisor




  • High School diploma
  • Previous experience in office administration
  • Fluent English-speaking mandatory
  • Must have strong organization skills and be thorough in work approach
  • Working knowledge of office software (email, spreadsheets, databases)
  • Accuracy in handling confidential information
  • Excellent written and verbal communication skills
  • Ability to work with top management.
  • Hands-on attitude
