Summary / Role Purpose

The AP and T&E Coordinator is an entry-level, full-time (40-hours per week) position that will work closely with members of our Bank Verification, Accounts Payable (AP) and Purchasing teams, in order to ensure that payments are made to the correct and appropriate vendors as part of the new vendor onboarding process. Attention to detail, disciplined follow-up procedures, ability to absorb and maintain knowledge or processes, and initiative are the keys to success. The AP and T&E Coordinator will need to gain an understanding of the nsKnox standard operating procedures to effectively complete standard and self-verifications within the tool for vendor enrollment. Additionally, they will be responsible for updating banking information for vendors within Ansys’ ERP system. This individual will assist and take initiative in identifying, assessing, and resolving complex issues and problems, and escalating whenever necessary. Effective internal communication and teamwork are required. This role will report to the Global Manager of Accounts Payable and Travel and Expense (T&E).

 

Key Duties and Responsibilities

  • Complete bank information verification process for new vendors and existing vendors.
  • Review vendor bank letters/voided checks against information entered by the vendor within nsKnox.
  • Update Oracle based on the electronic banking information received along with the bank letter/voided check received – updates include banking details, payment details, contact information, and organization.
  • Upload supporting documentation from the banking verification process into Oracle.
  • Communicate with vendor contact to confirm banking details have been validated and entered into Ansys’ system.
  • Validate banking information for vendors with an annualized spend of less than $5,000 in the PNC account verification tool.
  • Perform phone verifications of banking information for vendors that are unable to complete verification through nsKnox.
  • Manage the nsKnox Open US AP queue within ImageNow (document imaging and workflow management tool).
  • Work closely with AP and Purchasing teams on new vendor onboarding information.
  • Communicate internally with members of the bank verification team to ensure vendors are onboarded timely.
  • Escalate issues arising from the vendor onboarding process with members of the AP, bank verification, and purchasing teams.
  • Monitor Bank Verification team email on a daily basis.
  • Handle vendor inquiries as needed.
  • Other clerical tasks as assigned.

 

Minimum Education/Certification Requirements and Experience

  • High school diploma required
  • Associate’s Degree in business or similar field preferred
  • Excellent Verbal and Written Communication Skills
  • Must have strong organization skills and demonstrate strong attention to detail
  • Must show ability to multi-task and work well independently
  • Must be thorough in preparation of work products
  • Must have strong customer service skills
  • Working knowledge of Microsoft applications and strong computer skills

 

Preferred Qualifications and Skills

  • Experience with nsKnox or other bank verification systems a plus
  • Knowledge of Oracle a plus
